About the role
The Property Service Coordinator role is part of the property management team. Your main internal customers will be the Property Managers. We should have the new Property Service Coordinator based in our local office in Louvain-la-Neuve.
As Property Service Coordinator, you will ensure that the team administration that sits behind the Property Management team is delivered seamlessly. Thanks in part to you, our buildings are not only incredibly beautiful, but also a safe place to work in. In this position, you will work closely with our property managers, our asset manager, our business assistant, and our finance team. You have a lot of contact with external parties such as our external suppliers and appointed consultants.
Some of your daily tasks:
- As the first line contact person, you manage or eventually redirect our customers' queries.
- You will issue first-line purchase orders to suppliers via our CRM real estate system, Yardi.
- You consult with Property Managers for second-line requests.
- You regularly check financial coding on Yardi to ensure invoices are correctly coded.
- You work closely and collaboratively with our Utilities suppliers and site teams.
- You coordinate and arrange the quarterly chargeback of these services to our customers.
- You set up all our new suppliers for Belgian business, in collaboration with our colleagues in the Netherlands.
- You upload relevant finance and H&S documents to the applicable online portal systems.
- You provide general management support and update the Kadans CAFM system.

We have seven properties already completed and operationally active (totaling almost 30 tenants), and a strong development pipeline of properties. The team's goal of finding best-in-class property management solutions is transparent and cost-effective for the Kadans business and our tenants.
Kadans Science Partner focuses on the development and operation of inspiring commercial and office buildings, combined with laboratories, cleanrooms, research areas, conditioned spaces, and pilot plants for R&D departments of knowledge institutions, educational institutions, and knowledge-intensive companies.
