About the job
The Facilities Coordinator role forms part of the property management team. 
We have a flexible approach to where our colleagues work and how they manage their time. We would require the new Facilities Coordinator to be in our London office in Canary Wharf and/or Sycamore House in Stevenage at least two days a week.


As Facility Coordinator, you will ensure that everything runs smoothly and that everyone in the building is happy. Partly thanks to you, the building is not only a very beautiful, but also a safe place to work in. In this position, you are the first point of contact for tenants and suppliers of our buildings. Besides your colleagues, you have a lot of contact with external parties such as reception, catering, cleaning and shipping. You process, resolve and record tenant reports. This ranges from a broken lamp and questions about the interior to new plants. You request quotations, substantiate your choices and make the arrangements. Not everything is fixed, so you have the freedom to make choices. What's more: your own initiative is much appreciated. During the work meetings, we discuss initiatives to improve the service and real-life examples are discussed. As Facility Coordinator, you are also responsible for the annual maintenance planning. You coordinate this with the tenant in good time, so they can take it into account as well.

  • As Facility Coordinator, you will be responsible for providing high-quality service to the customer, thus relieving the tenant;
  • You have a good planning and work ahead to keep it that way;
  • Someone who interacts as a sparring partner with our tenants and provides their  
  • In addition, you feel free to make improvements. What is going well and what can be improved? You keep abreast of developments to be able to help customers even further. 
  • Naturally, you keep in touch with the customer with the aim of maintaining the service and customer satisfaction at the desired level. In this way, you expand your cooperation with Kadans' clients.

Some of your daily tasks:

  • You are Issuing of purchase orders to suppliers though our system, Yardi. 
  • Your’e auditing regulary financial coding on Yardi to ensure invoices are correctly coded. 
  • You are Working closely with our Utilities suppliers, site teams and Utilities consultant, coordinate the monthly recharging of these services to our customers. 
  • You set up a New supplier set up for the UK business, working with our colleagues in the Netherlands.
  • You Upload relevant finance and H&S documents to the applicable online portal systems.
  • You are Reviewing key dates and activities and ensuring that the relevant suppliers are instructed to complete actions. 
  • You are given support at General management and updating of the Kadans CAFM system. 
  • You Support the Mobilisation Manager in the setup of all new sites, with a focus on document management and the handover phase from the Kadans development team. 
  • You Manage the diary of the senior leadership team, linking into supplier management and regular meetings with our suppliers. 
  • You attend tenant meetings to support with record keeping.

Where will you work?
It is an exciting time to join the Kadans business in the UK. We have a strong development pipeline of properties in development as well as a properties already completed and are operationally active. 
The purpose of the team best in class, transparent and cost effective property management solutions to the Kadans business and our tenants. 

We have recently hired a new Head of Property to spearhead the expansion of our UK and ROI based property management team, including the mobalistation of our new Innovation Centre at 20 Water Street in Canary Wharf and properties in Kings Cross.

Criteria

What do we ask of you?

  • Do you have a professional, result- and customer-oriented attitude?
  • Do you have work experience as a Facility Coordinator? Facility background is an advantage
  • Are you good at organising and setting priorities?
  • Are you fluent in English?
  • Are you IT literate and do you have Excellent communication skills?
